Send the original file to production
A good bid request does not have to be long; but it should tell you which part is requested without leaving room for discussion. Share the current technical drawing, STEP model if available, part code and revision together. Check that the image matches the model.

Do not leave the material under family name
Write the quality code instead of "proof"; if necessary, the material standard, delivery or heat treatment status. Specify who will provide the raw material and the requested material document. Explain the approval process if alternative material can be evaluated.

Separate sample, batch and estimated annual amount
Separately write the party size of the attendance order with the first sample quantity. State this only if the annual amount is estimated; do not present it as a final order. With the need for preparation, the repeated production plan is affected by this information.
Add the requested delivery date, phased delivery if available, and the expectation of packing. Let the manufacturer know the date of need and whether sample approval is required, rather than just saying "urgent".
Explain the acceptance and document expectation from the beginning
Critical measures, surface conditions, number of parts to check and report format should be included in the proposal. Measurement report, material certificate and first part approval are different needs; do not compress to a single "quality document" statement.
